Position Summary
The Marketing Associate supports the growth of Alliance Home Care’s client census by assisting with referral relationship development, field outreach, marketing communications, and community engagement activities. Working alongside the Marketing & Business Development Coordinator, the Marketing Associate helps maintain referral source relationships, prepares and distributes agency materials, coordinates events, and ensures every referral is handed off to the Intake team promptly. This is an entry-to-mid-level role well-suited for a motivated self-starter who wants to build a career in healthcare marketing while making a direct impact on the communities Alliance serves.
Essential Duties and Responsibilities
Referral Development and Field Outreach
- Supports field visits to hospitals, transitional care units (TCUs), physician offices, senior-living communities, and community organizations under the direction of the Marketing & Business Development Coordinator.
- Assists in building and maintaining relationships with discharge planners, case managers, social workers, and other referral contacts; documents all field activity in the CRM same day.
- Delivers agency marketing materials, leave-behinds, and in-service presentations to referral sources using only approved content.
- Hands off every incoming referral to the Intake Coordinator immediately upon receipt; supports the agency’s response-time standard (target: hospital referrals acknowledged within one hour).
Marketing Communications and Content
- Assists in preparing flyers, newsletters, social media content, and other marketing materials consistent with Alliance Home Care’s brand standards and compliance requirements.
- Coordinates distribution of approved marketing collateral to referral sources and community partners.
- Supports the agency’s digital presence by drafting content for review and approval by leadership; does not publish independently without authorization.
- Monitors referral source and community feedback and shares insights with the Marketing & Business Development Coordinator.
Events and Community Engagement
- Coordinates logistics for community outreach events, health fairs, and professional networking activities, including registration, materials, setup, and follow-up.
- Represents Alliance Home Care professionally at community events, facility open houses, and partner meetings.
- Assists with scheduling and coordinating in-service education presentations for referral source facilities.
Administrative and Reporting Support
- Maintains accurate records of referral source contacts, visit activity, and outreach outcomes in the CRM; produces weekly activity summaries for leadership review.
- Tracks inventory of marketing materials and coordinates reprints or updates as needed.
- Assists the Marketing & Business Development Coordinator with referral source pipeline reports, territory planning, and market research.
- Performs other duties as assigned by the Marketing & Business Development Coordinator or Administrator.
Compliance and Regulatory Responsibilities
- Anti-Kickback Statute (42 U.S.C. 1320a-7b(b)): never offers, pays, solicits, or receives anything of value to induce or reward referrals of federal health care program business. All gifts, meals, and sponsorships must comply with written agency policy and dollar limits.
- Respects patient freedom of choice: never pressures patients or facility staff to select the agency; supports accurate, balanced presentation of care options.
- HIPAA: accesses patient or referral PHI only as necessary and through approved channels; never stores PHI on personal devices, personal email, or non-approved platforms.
- Uses only agency-approved, truthful, and non-misleading marketing materials; escalates any request to make clinical claims or coverage guarantees to a supervisor.
- Reports any referral source request for remuneration or exclusivity arrangements to the Administrator immediately.
- Completes HIPAA and Anti-Kickback Statute compliance training at hire and annually.
Required Qualifications
- High school diploma or equivalent required; associate or bachelor’s degree in marketing, communications, business, or a health-related field preferred.
- One (1) year of experience in marketing, sales support, customer service, or a healthcare setting preferred; recent graduates with relevant internship experience will be considered.
- Valid driver’s license, acceptable driving record, current auto insurance, and reliable transportation for regular field travel.
- Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint) and social media platforms.
- Professional written and verbal communication skills; comfortable presenting to small groups.
- Cleared Minnesota DHS background study (Minn. Stat. ch. 245C) if duties involve direct patient contact.
Preferred Qualifications
- Experience in home health, hospice, senior living, or another post-acute healthcare setting.
- Familiarity with CRM tools (e.g., Salesforce, HubSpot, or similar).
- Graphic design or digital content creation experience (Canva, Adobe, or similar).
- Bilingual or multilingual skills reflecting the communities Alliance serves.
Physical Requirements
- Regular local travel to referral sources and community partners across the Twin Cities metro; occasional evening or weekend events.
- Ability to stand, walk, and present for extended periods at events and facility visits.
- Ability to lift up to 25 pounds occasionally (marketing materials, event supplies, display equipment).
- Sufficient visual, hearing, and communication ability for sustained in-person, telephone, and written outreach.
